Late cancellations and fees
Set a free-cancellation window and a late fee percentage, and see exactly when a cancelled class still bills.
A student cancelling ten minutes before a class costs you the hour anyway. memore lets you decide, once, how that is handled — and then applies the rule evenly.
The two settings
Both live in Settings, under your studio's cancellation policy:
- Free-cancellation window — how much notice makes a cancellation free (say, 24 hours).
- Late fee — what percentage of the class price a late cancellation bills, from 0% to 100%.
Set the fee to 0%, or switch cancellations to always-free, and a late cancel simply charges nothing.
How a cancellation resolves
| Who cancels | When | Result |
|---|---|---|
| Student | Inside the free window | Free, class removed from billing |
| Student | Past the free window | Class is held and bills the late fee |
| You | Any time | Always free for the student |
A held-late class bills the fee as its final price — it never tops up to the full rate later, and it cannot double-bill by also completing.
What the student sees
The policy is shown on their booking flow and portal before they ever cancel, so the fee is never a surprise. A held-late class appears in their history with its fee, the same number your ledger carries.
